IMEI and serial number tracking with warranties on every invoice
RetailPOS Studio does IMEI and serial number tracking at the point of sale: each handset, laptop or appliance is recorded by its serial when it arrives and again when it's sold, with a named warranty attached to the product and printed on the invoice. When a customer comes back with a fault, search the IMEI and see who bought it, when, from which supplier and whether it's still covered.

Why track IMEI and serial numbers in a POS?
In short
Because one unit of a model is not the same as another. Recording the IMEI or serial when you receive and sell each unit lets you prove which phone you sold, to whom, when and with what warranty, and trace it back to the supplier and cost. It settles warranty claims and stops disputes over swapped devices.

What can a serial lookup tell you?
| Question | Where the answer comes from |
|---|---|
| Did we sell this unit? | The sale that recorded this serial |
| Who bought it and when? | Customer and date on that sale |
| Is it still under warranty? | The warranty attached to the product and the sale date |
| Where did we buy it? | The purchase that received this serial |
| What did it cost us? | Purchase price on that purchase line |
| Is it in stock now, and where? | Location stock for that serial |
Questions answered by searching one IMEI or serial number.
How it works
How does serial tracking work in practice?
- 01
Turn on serials per product
Enable IMEI or serial number on the products that need it — handsets, tablets, laptops, smartwatches, appliances — and leave it off for accessories. Only those products ask for a serial, so checkout stays fast for everything else.
- 02
Capture serials on the way in and out
When stock is received, each unit's serial is entered or scanned on the purchase line. At the register, the cashier scans or types the serial of the exact unit being sold, and it's printed on the invoice next to the item.
- 03
Named warranties
Create warranties such as '12-month manufacturer warranty' or '6-month shop warranty' with a duration, and attach them to products. The warranty name and period appear on the invoice, so the customer's paper and your record say the same thing.
- 04
Claims and repairs
When a customer returns with a fault, search the serial to confirm the sale and warranty. On the Stockroom plan, open a repair job sheet for the same device and track it until it's collected.
What goes wrong without serial tracking
Swapped-device claims
A customer returns a different, broken unit claiming it's the one you sold. Without the serial on your invoice you can't prove otherwise.
Expired warranties honored
Without a sale date tied to the serial, staff end up repairing out-of-warranty devices for free.
Untraceable stock
If a handset goes missing, you know a model is short but not which unit, which matters when reporting a theft.
Supplier disputes
Sending a faulty unit back to a distributor is easier when you can show which purchase it came in on.

By trade
Serials in your kind of shop
Phone shops
Handsets, new and used
Phone shops record the IMEI of every handset bought and sold, new or second-hand. In Pakistan, many shops also note a phone's PTA approval status in the product description or a custom field so staff can answer the customer's first question. Shop records are yours; registration itself happens with PTA, not in the POS.
General retail
Small appliances and tools
General stores selling kettles, fans, power banks or tools with a shop warranty can turn on serials for just those lines. A customer bringing back a fan in month five gets a straight answer in seconds.
Gift shops
Watches and premium gifts
Gift shops selling watches, speakers or premium pens can record serials for warranty registration and give the buyer an invoice that doubles as their warranty card.
