Terms of Service
Last updated 2026-10-18
In plain words
RetailPOS Studio is a monthly or annual subscription billed per location, with a 21-day free trial and no long-term contract. You can cancel any time. You stay responsible for your own card processor, taxes and licences.
1. Who these terms are between
These terms are an agreement between RetailPOS Studio (“we”, “us”) and the business that signs up for the service (“you”, the merchant). By creating an account, starting a trial or paying for a plan, you accept these terms on behalf of your business. If you don’t agree, don’t use the service.
2. The service
RetailPOS Studio is a hosted point-of-sale system. It includes selling at the counter, inventory, barcode labels, purchase orders, supplier ledgers, reward points, serial numbers and warranties, repair job sheets, reports, multi-store tools depending on your plan, and an online store generated from your catalogue. Optional services include a managed website and a bundle that adds a GoHighLevel snapshot.
We host and maintain the software. You don’t install anything on a server. You need a modern browser, an internet connection and any hardware you choose to use, such as receipt printers, barcode scanners, label printers or cash drawers.
3. Accounts and users
You must give accurate information when you sign up and keep it up to date. You are responsible for every user you invite, the permissions you give them and everything done under your account. Keep passwords private and tell us promptly if you suspect unauthorized access.
4. Free trial
New accounts get a 21-day free trial. At the end of the trial you can choose a plan or let the trial lapse. We will not charge you without asking you to pick a plan and confirm payment. Data entered during a lapsed trial is kept for a short period so you can return, then deleted.
5. Plans, prices and billing
- Plans are billed per location, monthly or annually, in the currency of your market (USD, AED or PKR). Prices are listed on our Pricing page.
- In the UAE, listed prices include 5% VAT. In the USA, sales tax is added where it applies. In Pakistan, prices are plus applicable sales tax.
- Annual billing gives you 2 months free compared with paying monthly and is paid in advance.
- The managed website has a one-time setup fee where stated, plus a monthly fee.
- We may change prices with at least 30 days’ notice. Changes apply from your next billing period after the notice. Annual plans keep their price until renewal.
- If a payment fails, we will remind you and give you a reasonable time to fix it before limiting the account.
6. No long-term contract
There is no minimum term beyond the billing period you choose. You can cancel at any time from your account or by contacting us. Our Refund and Cancellation Policy explains what happens to payments already made and how long you can export your data.
7. Your responsibilities as a merchant
You are responsible for:
- Card payments. Card processing happens through your own payment processor. RetailPOS Studio works with your processor; we do not process card payments for you and are not party to your processing agreement.
- Taxes. Setting the right tax rates and tax groups, issuing compliant invoices, and filing and paying your taxes. The software helps you calculate and print tax; it does not file returns or replace an accountant.
- Licences and local rules. Holding the trade licences and following the rules that apply to your shop and products, including consumer-protection, warranty, pricing-display and, in Pakistan, any FBR point-of-sale requirements that apply to your business.
- Your customers’ data. Having a lawful basis to record customer details and telling customers how you use them.
- Accuracy. Checking the prices, stock levels and product details you enter and publish to your online store.
8. Acceptable use
You may not use RetailPOS Studio to sell illegal goods or services, to send spam, to infringe anyone’s intellectual property, to store malware, to attempt to access other merchants’ data, to overload or probe our systems, or to resell the service without a written partner agreement. We may suspend an account that breaches this section, and will tell you why unless the law prevents us.
9. Your data
You own the data you put into RetailPOS Studio. You give us permission to host, copy, back up, display and process it only to provide and support the service. You can export your data at any time while your account is active and during the export window after cancellation. Our Privacy Policy describes how we handle personal data.
10. Availability and support
We aim to keep the service available at all times and to schedule maintenance outside busy trading hours in each market. The service is provided on a best-effort basis; we do not promise a specific uptime percentage. Support is available through the channels on our Contact page during the business hours shown there.
11. Changes to the service
We improve the software over time and may change, add or retire features. If we remove a feature that is central to your plan, we will give you notice and, if you choose to cancel as a result, refund any prepaid amount for the remaining period.
12. Third-party services
The service can work with third-party services such as payment processors, accounting tools, WooCommerce, GoHighLevel and messaging providers. Their own terms apply to your use of them, and we are not responsible for their availability or behaviour. Integrations we describe as planned are not part of your plan until they are released.
13. Intellectual property
We own the RetailPOS Studio name, website, software and documentation. You get a non-exclusive, non-transferable right to use the service during your subscription. Feedback you send us may be used to improve the product without obligation to you.
14. Warranties and liability
The service is provided “as is” and “as available”. To the extent the law allows, we disclaim implied warranties such as merchantability and fitness for a particular purpose.
To the extent the law allows, our total liability for any claim relating to the service is limited to the fees you paid us in the 12 months before the claim. We are not liable for indirect or consequential losses such as lost profits, lost sales or lost data that could have been prevented by exporting or backing up your records. Nothing in these terms limits liability that cannot be limited by law.
15. Suspension and termination
You can close your account at any time. We may suspend or close an account for non-payment after reminders, for a serious breach of these terms, or where the law requires. Where possible we will give notice and a chance to fix the problem first.
16. Governing law and disputes
These terms are governed by the laws named in your order form. Before starting any formal dispute, both sides agree to try to resolve it in good faith through our support and management team.
17. Changes to these terms
We may update these terms. We will post the new version here with a new date and, for material changes, notify account owners at least 30 days before they take effect. Continuing to use the service after that date means you accept the new terms.
18. Contact
Questions about these terms can be sent through the form or the Show email button on our Contact page.
